How can I prepare tobacco monthly reports from my records?

Start by separating manufacturing activity from imports, keeping the original source files, and reconciling inventory before preparing a supported draft. LeafLedger is tobacco reporting software by Profitpin LLC for this business workflow. You operate it on Windows and retain responsibility for reviewing and filing the result.

What does a monthly reconciliation look like?

In a fictional manufacturer example, 100,000 opening units plus 50,000 produced, less 20,000 removed and 100 documented losses, leave 129,900 closing units. If the physical count is 129,850, the 50-unit difference needs investigation. Do not insert an adjustment merely to make the totals agree. This is an inventory arithmetic example, not a tax calculation or a completed filing.

Can I use my existing spreadsheets?

Use your production, shipment, transfer and inventory exports as source evidence. Check the required fields, product classes and units before mapping them. See the manufacturer spreadsheet preparation guide and the fictional practice walkthrough before using real records.

Is LeafLedger a filing service?

No. LeafLedger prepares supported drafts and highlights missing or inconsistent inputs. Your responsible officer reviews, certifies and submits. Confirm that your reporting role and form are supported before starting a month.

Example: one company, two roles

A business that both manufactures and imports should retain separate source support for each role. A shared accounting total is not enough to decide which form or column an entry belongs in. Mark each batch with its permit, activity, month and product class before reconciliation.

Prepare once, review every month

  1. Save the original exports and source documents.
  2. Map identifiers, dates and units; review conversions instead of assuming them.
  3. Run the applicable reconciliation and investigate missing or inconsistent facts.
  4. Compare the draft with source evidence, then have the responsible officer review, certify and submit through the appropriate process.

Keep deadlines separate

TTB lists the manufacturer report as due by the 20th of the following month and the importer report by the 15th. These are different deadlines; check current instructions and applicability for your operation. TTB operational report due dates.

Does LeafLedger submit my reports?

No. It prepares supported drafts and review evidence. Your business handles certification and submission.

Can missing records be treated as zero activity?

No. Confirm and document zero activity; an absent file is an unresolved input.
